My team of engineers and I at SYNTONYL have built Zacello to organize the work that surrounds tax preparation. It brings the firm, its clients, their documents, and the people responsible for each step into one workspace, from the first request through independent internal review.
The public demo introduces Zacello's workflow from intake to review. Access to the main platform is by invitation only.
The Work Around the Return
A tax engagement involves much more than entering numbers. Someone has to collect the right documents, follow up on missing information, check what arrived, assign the work, and make sure another person can review it with enough context to make a decision.
When those steps live in separate inboxes, folders, and task lists, the team has to reconstruct the same story repeatedly. A file may have arrived without anyone confirming that it answers the request. A task may look finished while a correction is still outstanding.
We built Zacello around those handoffs. The workspace shows what has been received, what has been accepted, what needs attention, and who is responsible next.
One Engagement, Shared Context
Each engagement connects a client and tax year with assigned staff, intake responses, document requests, tasks, and review history. Preparers and reviewers work from the same engagement context rather than separate lists that have to be reconciled later.
The overview brings outstanding requests, assigned tasks, review queues, and staff-entered deadlines together. Teams use that view to prioritize their work, then open each engagement for the documents, decisions, and assignments behind its status.
The client portal provides a separate place for intake questions, requested documents, and messages. Clients see the material made available to them, while internal preparation and review remain part of the staff workspace.
From an Upload to Accepted Evidence
Zacello tracks each document from upload through safety checks and staff acceptance. Every stage has a clear place in the engagement.
Staff accept the submitted document or request a correction. Acceptance follows the exact file version reviewed, preserving the original decision when a replacement arrives. Authorized staff retain access to that history.
That connection carries into preparation. Supported workpapers link confirmed values to their source documents and pages. Document extraction suggests values for staff to review and confirm.
Each confirmed value remains connected to the material behind it, giving the next person a clear starting point for review.
Review With the Evidence Attached
Preparation and independent review are separate steps. Before submitting work for review, the preparer can resolve readiness findings and preserve a snapshot of the workpaper and its supporting evidence.
The reviewer approves the submitted work or requests corrections against a defined set of material. The snapshot preserves what was reviewed as the engagement progresses.
Internal handoff material and client-facing summaries have different purposes. Zacello keeps them separate, with an explicit release step that gives staff control over what reaches the client.
Repeatable Workflows, Clear Decisions
The workflow tools let a firm define a process with assigned tasks, document requests, conditions, notifications, and approval checkpoints. A template can be drafted, previewed, and published before it is used for an engagement.
Each run follows its published version, preserving the process it started with as templates evolve. Authorized staff can pause, resume, or cancel work, and each step advances when its required information and approvals are in place.
Operational approvals and preparation review remain distinct, with clear responsibility for each decision. The workflow handles coordination while the firm's staff retain control over review and client communication.
Demo and Invite-Only Access
The public demo presents the engagement, document, preparation, and review workflow using sample records. The main platform is invite-only, with access coordinated through our team at SYNTONYL.
Zacello brings the operational side of tax work together. Our team at SYNTONYL has built a shared structure for preparation, evidence, and human review, so each handoff carries the context the next person needs.
